How to define users for a workflow step

Workflow steps define the current status of a process, and within each step, you can designate users, known as assignees. These assignees are the individuals to whom the process will be assigned when it reaches this specific step. To define these assignees, follow these steps:

  1. Click on the corresponding workflow step.
  2. A window will appear on the right side of the screen.
  3. Click the "View/Edit Details" button under 'Assignees and Field Rights'.
  4. For the first step, enable 'Flow Starter' as this designates the initial step.
  5. For subsequent steps, you can select 'Select Users' and choose users from the dropdown below for assignment.
  6. Optionally, enable 'Logged in user' if you wish to assign this step to the user who approved the previous step.
  7. If you enable 'Users in field', you will be prompted to select a user(s) field from the table. This is useful when you need to define assignees before approving the step. The form will include a user(s) dropdown, and you will select the user(s). Upon form approval, the process will be assigned to the selected user(s).
  8. Another advanced option is 'Users in table.' In this scenario, you create a separate table containing users and their specific roles. By selecting this view, along with the user field and a specific filter, you can dynamically define users. For example, if you selected a country in the form, you can configure the process to be assigned only to individuals from that selected country by filtering the table with the Country field value.
